Finance & Office Assistant

NB: This is an immediate start position

 

Overview

Our client is a community senior living facility that prides itself on excellence, care and family-centredness. Based in Johannesburg a full-time opportunity has become available for a mature, diligent and proactive Finance and Office Assistant to join their small and energetic core team.

 

The ideal candidate will have exceptional attention to detail, honesty and a strong work ethic. As well as be confident in speaking, reading and writing German.

 

 

Purpose of Role

In this role you will be primarily responsible for accounting – experience as a Debtors & Creditors Controller is non-negotiable and working experience on Sage One and Payroll Accounting is required.

 

There will also be a variety of administrative tasks and occasionally you will assist in overseeing fundraising events.

 

 

Responsibilities

  1. Process financial information (journals – debit & credit)
  2. Compile, reconcile and monitor control accounts (with supporting documentation)
  3. Monitor stock control (reconciliations and variance analysis)
  4. Perform bank reconciliations
  5. Prepare Customer invoices & statements
  6. Filing of supporting documents
  7. Preparation and review of payment requests
  8. Processing bi-weekly payments
  9. Assist in the preparation of management accounts, financial statements and annual budget
  10. Prepare VAT and turnover reconciliations
  11. Process salaries of all staff and their related administrative procedures
  12. Process monthly payroll on Sage Payroll (40 staff) and maintain staff files
  13. Process invoices and expense reports
  14. Manage petty cash and banking transactions
  15. Manage day-to-day office operations ensuring a smooth and efficient work environment
  16. Handle correspondence – electronic, telephonic and scheduling
  17. Organise and maintain files, records and databases
  18. Oversee the receiving and dispatching of goods
  19. Maintain accurate records of inventory and stock levels
  20. Coordinate office supplies, equipment maintenance and facility management
  21. Assist in planning and organising company events and meetings

 

 

Qualifications

Degree or Diploma in Accounting / Bookkeeping is essential

CMA (Certified Management Accountant) is preferred

 

 

Skills & Work Experience required

  • 5–8 years experience in financial accounting including payroll
  • proficient in accounting software – Sage One and Payroll
  • intermediate Excel skills
  • strong knowledge of accounting principles
  • excellent clear and courteous English-language communication skills (verbal and written)
  • basic HR knowledge
  • NGO or Non-profit organisation familiarity
