Sales Receptionist and Caller

Direct Reporting Line:

Vice Principal: Student Affairs

Location:

Johannesburg

Job Purpose:

You will be in charge of giving clients directions to various parts of the institutes sales office, contacting the institutes sales team employees regarding visitors, answering phones and taking messages, and sorting and distributing mail and deliveries.

You will also assist the institute sales team at the campus by making calls to prospective students of the institution and booking appointments for the institutes sales team.

 

Duties and Responsibilities:

Reception

  • Receive campus visitors by greeting and welcoming them.
  • Direct and announce visitors.
  • Provide customer support by answering the phone and replying to emails in a timely manner.
  • Answer, screen and direct incoming calls.
  • Sort and administer mail and deliveries.
  • Provide administrative support via phone or email.
  • Maintain the office and keep all the office equipment in check as well as order any necessary office supplies.
  • Responsible for maintaining office security and communicating with the security guards if needed.
  • Manage calendars by scheduling meetings, arraigning travel and accommodation, etc.
  • Coordinate boardroom and meeting room bookings.
  • Perform other clerical receptionist duties such as photocopying, transcribing, filing, sorting and distributing paperwork, and related tasks.
  • Interact with colleagues to resolve important administrative challenges.
  • Provide relevant information to walk in prospective clients
  • Receiving walk-in customers and guests and making them comfortable
  • Directing or escorting guests or visitors to specific areas or correct offices
  • Creating, adjusting, or cancelling appointments when necessary
  • Scanning, mailing, and filing sales related documents.
  • Informing other members of the sales staff about visitors or cancellations
  • Entering customer/lead details into the company's records or CRM database

 

Calling Leads

  • To call prospective students, schedule interviews for the sales team (Vice Principal: Student Affairs, Senior Student Advisor and Student Advisors) in line with your daily, weekly and monthly calling and booking targets.
  • To follow an established script, building rapport with prospective students and parents for the sales team.
  • To achieve individual calling targets for weekly, monthly, and annual interviews for the sales team.
  • To communicate with prospective students on WhatsApp to convert interest into appointments for the sales team.
  • To manage own performance in each of the areas above to meet daily, weekly, and monthly targets.

Administration and Reporting

  • To update the CRM with lead details (data capturing) as required by the Vice Principal: Student Affairs.
  • To maintain of accurate daily sales calling report, including call reports and the interview booking tracker and the institutes CRM system.

  • Strong interpersonal and communication skills to effectively engage with prospective students, parents, and stakeholders.
  • Friendly, tenacious, and possess a target-driven mindset with exceptional organisational abilities.
  • Excellent time management skills to manage multiple tasks and work under pressure.
  • Computer literacy Microsoft package (Word, Excel, Outlook)

Minimum Requirements:

  • One year post Grade 12 Business Administration qualification.
  • Minimum 2 years’ experience as a call centre agent and/or receptionist in a similar role

 

Salary Range:

  • R10 000 – R13 000 per month + commission opportunities.
